Dear dr. Lutz,

as we have indicated during the Hyderabad congress, 
we are approaching you and your commission now with a request for sending us nominations 
of member(s) of the International Programme Committee (IPC) of the 25the IUCr congress in 
Prague 2020.

Because of necessity of overall geographical and gender balance, we would like to ask
you for more nominations than one. For these, you may also take into account the above 
balance, as possible, of course.

This person should serve as a representative of your commission in the IPC. 
The IPC is responsible for preparation of the congress programme, i.e. the selection of 
plenary lectures, keynote lectures, microsymposia topics and microsymposia chairs.

There are also restrictions for the IPC members. None of the IPC members from the last two 
congresses (Montreal and Hyderabad) can become of the IPC member in Prague. IPC 
members are not allowed to have plenary nor keynote lectures in Prague congress and they 
cannot serve as microsymposia chairs there. This may also be considered in discussion of 
nominations.

At the same time, keynote and plenary speakers should not have such lectures at last two 
congresses. Restriction for session chairs is just the last congress in India. 

Please, read attached guidelines carefully. I am also sending xlsx lists of IPC members, 
plenary and keynote speakers and session chairs in Hyderabad and Montreal (in 
corresponding sheets) in order to see possible restrictions. In the table of IPC members also 
corresponding commissions are shown in shortcuts, full commission name is shown as the 
field comment.

Changing the role in subsequent congresses is, of course, allowed. For example, members 
of the last IPCs can give keynote lectures or serve as session chairs
or keynote lecturers or chairs from India and Canada can serve as IPC members.

As the commission representative, not necessarily a commission member may be selected, it 
can be consultant or any other person. However, he/she should be responsible person with 
good contacts to the commission and also fast interacting to be able to respond quickly and 
also represent well the commission.
Of course, the commission chair can be very suitable for this role, considering the above 
restrictions.

We would appreciate if you can send us your nominations till the END OF JANUARY 2018. 
Please, give in the list: full name, country and gender.
The person nominated should agree with the nomination (please, in your communication with 
him/her indicate that it is consideration not a decision yet).
We will have additional request - the ability of taking part at the IPC meeting in 
February/March 2019 in Prague. However, this we will also communicate directly.

If you like, you can indicate preferences in the list of candidates and we will take this into 
account in the setting up the IPC. Or you can send it without preferences and leave it to us.

Of course, if you have already discussed and decided it in Hyderabad, you can send it us 
immediately.

Finally, the IPC must be approved by the IUCr executive committee (EC).
We assume to submit it to the EC in spring 2018.
